Microsoft 365 Business UK Basic: UK Price and Key Features
Microsoft 365 Business UK Basic costs £5.40 per user/month with annual payment, or £6.48 on a monthly commitment. It combines company-domain email, browser and mobile productivity apps, 1 TB of OneDrive storage per user and Teams in the version shown above. It does not include the full desktop Office applications.
Basic is a practical starting point for staff who work mainly through a browser and need professional email and shared documents. Employees who depend on desktop Excel or Word should be assessed separately.
The no-Teams version is listed at £4.20 per user/month with annual payment. Check whether your team needs Teams before comparing the two prices.
Microsoft 365 Business UK Standard: UK Price and Desktop Apps
Business Standard costs £10.80 per user/month with annual payment, or £12.96 on a monthly commitment. It adds installed desktop applications to business email and collaboration services.
It is a sensible option for employees who prepare documents, manage spreadsheets or use desktop Outlook throughout the day. The decision should reflect how they work, rather than their job title alone.
Business Standard without Teams is listed at £8.30 per user/month with annual payment. This is worth checking alongside Apps for Business: an apps-only subscription is not automatically the cheapest suitable option.
Microsoft 365 Business UK Premium: UK Price and Security Features
Business Premium costs £16.90 per user/month with annual payment, or £20.28 on a monthly commitment. Alongside productivity apps and business email, it includes capabilities such as Intune Plan 1 for device management, Microsoft Defender for Business and Microsoft Defender for Office 365. The annual-payment no-Teams option is £14.40 per user/month.
Premium is worth considering when company devices, remote access and sensitive information require more consistent administration. Budget for configuring and maintaining those controls: purchasing the licence alone does not complete the security work.
Microsoft 365 Apps for Business: Pricing and Who It Suits
Microsoft 365 Business UK Apps for Business costs £9.80 per user/month with annual payment, or £11.76 on a monthly commitment. It provides desktop applications, including Word, Excel, PowerPoint and Outlook, plus 1 TB of OneDrive storage per user.
It can suit a company that already has an email service and primarily needs Office applications. However, the Outlook application is not the same as a hosted business mailbox: Apps for Business does not include Exchange Online email hosting.
If you want Microsoft to host addresses on your company domain, compare the complete cost of your proposed email-and-apps combination with a Business plan that already includes email.
Monthly vs Annual Microsoft 365 Subscriptions: What’s the Difference?
Separate the commitment period from the billing frequency. Paying an invoice each month does not necessarily mean you have a monthly contract.

Microsoft distinguishes these arrangements, and available changes depend on the subscription and purchasing channel. Ask for an explicit quotation if you want an annual commitment billed monthly; do not assume the annual upfront rate applies.
For example, ten Business Standard users cost £1,296 for a year paid upfront. Twelve months at the listed monthly-commitment rate would total £1,555.20, assuming the price stays unchanged. The £259.20 difference excludes VAT and services.
Annual commitments can suit stable teams. Monthly commitments may be more appropriate where staffing or project requirements change frequently. Check the cancellation and seat-reduction rules before choosing.
How the July 2026 Pricing Changes Affect Renewals
Microsoft’s commercial pricing update took effect on 1 July 2026. For existing customers, the new pricing applies at the next applicable renewal, rather than automatically replacing every existing annual contract’s price on that date.

Microsoft’s global announcement presents reference prices in US dollars and notes that country and currency pricing can vary. It should not be converted into a blanket percentage increase for UK subscriptions. Business Premium’s position in that announcement also does not guarantee that an individual renewal quote will remain unchanged.
For an unchanged annual subscription that renewed in May 2026, the relevant renewal would ordinarily be in May 2027. One renewing in November 2026 would encounter the updated pricing at that November renewal. A monthly invoice on an annual contract is not a monthly contract renewal.
Promotional Prices vs Standard Renewal Prices
A discounted first year can make one offer look substantially cheaper than another. Compare the same product, Teams option, commitment period and services, then ask what happens when the discount ends.
Microsoft’s UK pricing page currently describes selected Copilot offers running from July to December 2026, with promotional pricing limited to the first year. These conditions should not be applied to every Business subscription. Confirm eligibility, the promotion’s end date and the applicable renewal basis in writing.
What to Review Before Your Subscription Renews
Start your review around a month before the renewal date so there is time to compare quotes and agree changes. Check:
Subscription details: the exact plan, Teams option and any Copilot bundle or add-ons.
Dates and terms: the commitment end date, renewal date, auto-renew setting and provider’s change deadline.
Licence quantities: paid seats, assigned seats and expected staffing for the next term.
The full quotation: recurring charges, expiring discounts, VAT and separately priced services.
For subscriptions purchased through a Cloud Solution Provider under Microsoft’s new commerce model, cancellations and seat reductions have restricted windows. Agree any reduction with your provider before renewal; removing a licence assignment from an employee does not itself reduce the number of seats you are paying for.

A useful Microsoft 365 Business UK budget separates recurring licence charges from implementation and ongoing service costs. Review these items before approving a quotation:
VAT: the Microsoft UK prices shown in this article exclude VAT. Compare quotations on the same tax basis and use the tax shown on the applicable invoice to establish the payable total.
Teams and Copilot: confirm precisely which services the quoted product includes. Included Copilot Chat and a paid Microsoft 365 Business UK Copilot subscription are not interchangeable products.
Domain and email setup: allow for a domain if needed, DNS configuration, mailbox creation and initial security settings.
Migration: scope the mailboxes, files, permissions, testing and user assistance required when moving from another platform.
Backup and recovery: define the data and recovery periods your business needs, then price any additional service required to meet them.
Ongoing management: clarify who handles new starters, leavers, licence changes, security reviews and support requests, and whether that work is included.
Ask for one-off and recurring costs on separate lines. This makes the first-year budget and the expected renewal budget much easier to compare.

The strongest savings opportunities usually start with understanding what your company has bought and what its employees actually need.
Audit paid and assigned seats. Identify unused subscriptions and duplicate purchases, then schedule eligible reductions. Preserve required business data before offboarding users.
Match plans to working patterns. Assess browser-based work, desktop application needs and security requirements separately. Keep the necessary security and device-management coverage in place.
Review add-on usage. Ask which employees actively use paid AI or specialist tools before renewing the same quantity.
Compare complete annual costs. Include payment terms, taxes, setup and support. A lower licence price can be offset by services that another quotation already includes.
Confirm changes before renewal. Request written confirmation of the new plan, seat count, payment schedule and effective date.
